2024 Educational Permit Renewal FAQs

Effective at 11:59 pm Eastern Daylight Time (EDT) on June 30, 2023, all current education permits will expire unless successfully renewed during the Board’s renewal period. 

On May 1, 2024, the 2024 Allopathic Educational Permit Renewal Application will be available for download on the Board’s website. Educational permit renewal ends at 4:30 pm EDT on Friday, June 28, 2024.  To avoid expiration, the Board must receive the completed application and payment of the renewal fee by the renewal deadline.  Because there is no grace period for practice after expiration, the Board strongly encourages early renewal to avoid unexpected problems or delays in renewal completion.

  1. Do I need to renew my educational permit in 2024?

If you will be participating in post-graduate training in West Virginia after June 30, 2024, you must hold either a West Virginia medical license or an educational permit.  If you will be in residency or fellowship after June 30, 2024, and you do not receive a West Virginia medical license in May 2024, you must renew your permit to participate in your training program.

  1. How do I renew my educational permit?

Beginning on May 1, 2024, the 2024 Allopathic Educational Permit Renewal Application, with instructions, will be  available for download on the Board’s website.

  1. Can I renew online?

No. At this time, the educational permit application is a paper application. Beginning on May 1, 2024, the 2024 Allopathic Educational Permit Renewal Application will be available for download on the Board’s website.

  1. Can my program complete the renewal application for me?

No.  Your renewal application has two sections.   You must complete Section A yourself.  Section B must be completed by your program director or his or her Board authorized designee after you complete Section A.  The application, including original signatures in both sections, must be submitted to the Board.     

  1. Can my program director fill out Section B first and then send the application to me to finish Section A?

No.  You must complete Section A before your program completes Section B. 

  1.  Can I complete Section A and scan the renewal application to my program director to complete?

No.  You must provide the program director with your original application.  The application you submit to the Board must contain two original signatures.

  1. Is there a renewal fee?

Yes.  The non-refundable renewal fee is $100. The Board accepts online credit card payments for all fees. Upon receipt of your completed application, the Board will send payment instructions via email to the address provided on the renewal application.  Your application will not be processed until payment is received.

  1. Can my program pay the renewal fee for me?

Ultimately, the renewal fee is your responsibility.  However, programs are not prohibited from paying the renewal fee on your behalf.  Your application will not be processed until payment is received.

  1. How long does it take to process my renewal application?

If you will be participating in post-graduate training on July 1, 2024, the Board recommends that you apply for renewal by June 10, 2024.  While the Board makes every effort to process renewal applications efficiently, June is an extremely busy month for the Board. While all complete applications received before the renewal deadline will be processed, confirmation of permit renewal may take longer, and may be delayed beyond June 30, 2024.

  1. What is the renewal application deadline?

To avoid expiration of your educational permit, your complete renewal application and payment of your renewal fee must be received by the Board before 4:30 pm EDT on Friday, June 28, 2024.   

  1. What happens if I don’t renew my educational permit?

Your educational permit will expire at 11:59 pm EDT on June 30, 2024, and you will not be authorized to participate in your training program beginning July 1, 2024.

  1. I have completed my program. Do I need to renew?

No, you do not need an educational permit if you are not participating in post-graduate training.

  1. I have completed my training.  Can I start practicing medicine in West Virginia?

If you intend to practice medicine and surgery in West Virginia outside of a training program, you must be licensed by the Board.  An educational permit is not a license. 

  1. I applied for and received a medical license from the Board, but I haven’t finished my training program.  Do I need to renew my educational permit?

No. If you hold a West Virginia medical license, you do not need an educational permit to participate in your training program.

  1. I am applying for a medical license, but my application has not been granted yet.  I hope to receive a medical license in July 2024.  Do I need to renew my educational permit?

Yes.  You may not participate in post-graduate training after June 30, 2024 without either an educational permit or a license.  If your application will not be/was not granted by the Board as of May 20, 2024, you will not receive a medical license before July 1, 2024. To practice after June 30, 2024 and until licensure is obtained, you will need to renew your educational permit.

  1. I can’t finish my renewal application by 4:30 pm EDT on Friday, June 28, 2024. What happens now?

Your educational permit will expire at 11:59 pm EDT on June 30, 2024, and you will not be eligible to participate in your training program effective July 1, 2024. 

  1. My permit expired on June 30, 2024, but I am still in training.  What do I do?

You cannot participate in your training program without a current, valid educational permit.  You must stop training and apply for a new permit.  Please contact the Board for additional information on how to apply for a new permit.

  1. What happens to my educational permit if I leave my training program?

If you leave your program, your permit becomes invalid. It cannot be used at any other program or for any other purpose.

  1. How will I know if my educational permit renewal application has been processed?

The Board will inform you and your program director/authorized designee via email.  A copy of your renewed permit will also be provided via email to you and your program director/authorized designee.  

  1. I will begin a new program in July. Do I need to renew?

No, renewal of your educational permit is only for your current program. If you are changing residency programs or beginning a fellowship program and have not received a medical license you will need to submit an initial application with your new program.  Please refer to the initial application on the Board’s website.

  1. Who can I call at the Board with a question about renewal?

Please review the renewal FAQs carefully before reaching out to the Board with questions.  The overwhelming majority of telephone inquiries the Board received regarding renewal in 2023 were resolvable by reviewing the 2023 Renewal FAQs and other information readily available on the Board’s website.
